Fix AI Emails Fast Without Starting Over
A simple way to stop robotic drafts and get usable emails in one pass
If AI keeps giving you awkward emails, the problem usually is not the tool.
It is the setup.
Most people open ChatGPT and type something like, “Write an email to my client.” That is too vague. AI fills in the blanks and starts guessing.
Then the email comes back too long, too formal, too fluffy, or just not you.
Here is the fix I use.
The fast fix
Before you ask for the email, give AI a tiny context pack.
Use this format:
Who I am
Who the email is for
What the goal is
The tone I want
What to avoid
What format I want back
That is it.
Example prompt
“Write an email for me. I am a business owner and I want to follow up with a customer who has not replied in 5 days. The goal is to get a response and confirm next steps. The tone should be warm, clear, and professional. Do not sound pushy. Keep it under 120 words. Give me 3 versions: friendly, direct, and very short.”
That one prompt will usually give you something usable right away.
Why this works
AI is a pattern tool. It needs direction.
If you do not provide direction, it fills the space with generic language.
That is why so many AI emails sound like AI emails.
My simple rule
Do not ask AI to write the email.
Ask AI to write your email with your context.
Small difference. Much better result.
