📌 Component 1 — Triage Decision
“I just read this email and need to decide what to do with it without rereading it: [paste or describe]. My role: [brief description]. Tell me: (1) Triage category — Respond Now / Defer / Delegate / File / Delete, (2) If Respond Now: the one thing my reply needs to accomplish, (3) If Defer: what needs to happen first and when to set a reminder.”
📌 Component 2 — Response Library Builder
“Help me build a personal email response library. Please create templates for [choose from: warm decline / polite follow-up / acknowledgment of receipt / graceful exit from a chain / cold outreach opening]. For each, ask me 2–3 questions about my voice and typical phrasing before writing — I want these to sound exactly like me.”
📌 Component 3 — Weekly Digest
“Here are emails I haven’t had time to read properly this week [paste all]. Please give me: (1) a 2-paragraph summary of everything important, (2) a list of specific action items with sender and what’s needed, (3) anything I can safely ignore.”
📌 Component 4 — Tone Check
“Before I send this email, check the tone: [paste draft]. Relationship and context: [describe]. Tell me: (1) How will this likely land? (2) Anything that could read as unintentionally defensive or cold? (3) One specific change that would make it land better. Be honest.”
📌 Component 5 — Monthly Declutter
“I want to do a monthly email declutter. Here are my recurring senders with how often I actually open each: [list senders + honest frequency]. Recommend: (1) Keep, (2) Unsubscribe immediately, (3) Filter to a weekly-check folder, (4) Set up automatic rules for.”
